Overview:
We are seeking an experienced Workflow and Automation Specialist to design, implement, and integrate a streamlined project management system for a residential rehab and remodeling business. The ideal candidate will have extensive experience in project management tools, workflow automation, and system integration, particularly for managing complex projects with multiple phases and tasks.
Project Scope:
The goal of this project is to integrate our detailed Standard Operating Procedures (SOPs), referred to as "play books," with our current weekly project overview system, which is managed in Google Docs. The integration should ensure that tasks flow seamlessly from one to the next, with minimal manual oversight, allowing the team to focus on execution rather than tracking.
Key Responsibilities:
● Workflow Design: Analyze existing SOPs and weekly overview processes to design an integrated workflow that automates task sequencing and ensures smooth progression from one task to the next.
● Tool Selection and Implementation: Recommend and implement the most suitable project management tool (e.g., Asana, ClickUp, Trello) for managing tasks, setting dependencies, and tracking progress. Integration with Google Docs/Sheets is essential.
● Automation Setup: Use tools like Zapier, Integromat (Make), or similar platforms to automate the updating of the weekly overview based on task completion in the project management system.
● Dashboard Creation: Develop a real-time dashboard that reflects the status of tasks, milestones, and upcoming priorities across all active projects.
● Documentation: Ensure all workflows, automations, and processes are well-documented so that the system is easy to use and maintain by our team.
● Training and Handover: Provide a training session for our team on how to use the new system effectively and ensure a smooth handover.
Skills and Qualifications:
● Proven experience in workflow automation and project management systems.
● Proficiency with tools like Asana, ClickUp, Trello, Zapier, Integromat (Make), and Google
Workspace (Docs/Sheets).
● Strong understanding of task dependencies, project milestones, and automation best
practices.
● Excellent communication skills and the ability to explain technical concepts to non-technical team members.
● Experience in construction or real estate project management is a plus but not required.
