We are the local chapter of Rotary International and have a community hall that we rent to the public at a very favourable rate and we need to automate some of the processes. We would prefer to have a fixed price build as we need to raise funds to pay for the website and would like minimal ongoing costs if possible. Our current site doesn’t work as well as originally hoped, it’s a little clunky, can’t make bulk bookings or integrate with smart locks. The developers broke it last time and its no longer as functional as originally designed and built.

We are looking for a skilled website developer to build a booking and payment website that will interact with a smart lock system. The website will be used to manage and book a hall, and the smart lock will provide access to the booked hall. The developer should have experience in the following areas:

– Web development (frontend and backend)
– Payment gateway integration
– Smart lock integration (API)
– Database management

The website should have a user-friendly interface for managing bookings and handling payments securely. The integration with the smart lock should ensure smooth access control based on the booked schedule. Single use codes for booking periods are to be used with some additional access codes for club members.

An approximate overview of the parameters below:
1. User Interface and Frontend
Accessibility: Mobile-friendly, responsive design.
Functionality:
Calendar to pick dates.
Time selection for the booking.
Overview of costs depending on booking duration.
Bulk booking feature for multiple periods.
2. Booking and Pricing Logic
Booking Increments: Minimum 2 hours, with flexible start and end times.
Pricing:
2 hours: $25, 4 hours: $50, 8 hours: $100.
Day session (6am-5pm) or Night session (5pm-midnight): $100 each.
Overnight charge for consecutive days: $50.
Availability Management: Block the hall after booking and payment.
3. Payment Integration
Stripe API: For handling payments and with possibility generate invoice for payment.
4. Smart Lock Integration
Yale Unity Lock: API integration for code generation.
Code Management: Active 5 minutes before until 5 minutes after the booking. Single use.
5. Backend and Database
Backend: To be determined based on development preferences.
Database: To store user accounts, bookings, payments, and codes.
6. User Accounts and Notifications
Account Creation: Mandatory for booking.
Email and SMS Notifications: For booking confirmation, access code, reminders, and access codes.
Tax Invoice: Generation and sending after booking.
7. Admin Panel
Functionality: Manage bookings, payments, view logs, and manage persistent codes for members and cleaners.
8. Hosting and Domain
Domain: nhulunbuyrotary.org.au
Hosting: To be decided but secure hosting.
