NOTE: Budget provided is NOT actual budget. We are looking for a team of developers and we understand that this will require a lot of time and effort meaning budget will increase, consider this similar to creating an SaaS.

I’m looking for a developer or development team that can create a WebApp/Software that will automate my accounting strategy.

I own a labour hire/recruitment company and the method of accounting is as follows:
1. Receive timesheets (paper) from employees
2. Enter hours of employees into MYOB for payroll
3. Pay employees based on their hours and the agreed rate (per hour)
4. Create time billing invoices in MYOB with the following columns "NAME", POSITION" , "HOURS", "RATE", "AMOUNT"
5. I manually enter the employees name and position, their hours (based on timesheets) and I have a list of ‘Activities’ for each client to determine how much the rate is based on position and the company. For example, Client A with position Labourer rate would be $30.00/hr, Client B with position Labourer rate could be $35.00/hr.

Based on the company the invoice is being created for, the activities (rates) of each position are entered in from the list of activities of each company.
6. Invoices are manually emailed out via outlook with the Invoice PDF attached as well as timesheet (scanned) attached.

I am trying to find a solution to automate this whole process.

I feel like the only manual handling that needs to happen is receiving timesheets from employees then entering the hours into the system. For example, when entering the hours the following will happen:
1. Navigate to the employees card (which has all their information including their hourly rate).
2. Enter the ‘CLIENT’ they worked for (customer). i.e. COMPANY ABC PTY LTD
3. Enter the ‘JOB’ they worked at (clients can have multiple jobs and each job can have different activity rates). i.e. 26 Sanders Pde, Concord NSW (jobs are pre-filled in the clients card)
4. Enter the ‘ACTIVITY’ or ‘POSITION’ of the employee. i.e. Crane Operator (based on the client and job, the positions’ rates are entered in a separate list ‘Activity List’)
5. Enter their hours daily based on the timesheet provided (Monday – Sunday).

I need a software that will then automatically create a time billing invoice that collates all employees that worked on the same job in one invoice with their information pre-filled (Name, Position, Hours, Rate, Amount.

This software will then automatically send out all invoices once they are manually checked over by management (one button send all or send company by company or even job by job via email). The end result is simple, we just need to be able to send all the invoices created for each company via email. Invoice reminders will also be sent out (say if I wanted to remind a client that there are invoices A, B and C due to be paid). I would also like the option to send out account statements to clients on a regular basis with a click of a button (via email, outlook).

I also need an option to further make the invoicing more specific (i.e. instead of an invoice for each Clients job, create an invoice for each Clients Job and each position. i.e. all ‘Crane Operators’ are collated into one invoice for that specific client and job.) However this will only be an option and not automatically generated.

To summarise:
– Create ‘Cards’ for each employee which will house their hourly rate as well as information such as Position, Documents (attach from computer), etc.
– Ability to search employee card, then enter data for employee’s hours (Mon-Sun)
– Process Payroll (system automatically calculates employees’ pay for the week according to HRS x RATE)
– Once processed, ability to create an .ABA file for Banking information. Ability to use .ABA to pay employees in bulk from. Payroll info is stored and archived
– Time billing Invoices created according to data entered per each employee. Attach paper (scanned) timesheet to invoice.
– Send Invoice with attached timesheet as supported documentation via email to client.

Company Cards should house information like official Company Name, Address, Phone, Email, ABN (Australian Business Number), etc. Information is to reflect onto invoices.

The description above is quite brief. If I am able to find an entity to create such application, a very detailed deliverables document will be provided with everything expected.
